Privacy Policy for Breakthrough Cancer Research Grant Portal
INTRODUCTION
Breakthrough Cancer Research is committed to safeguarding your personal information. Your personal data, or personal information, is any information about you from which you can be identified. It does not include information where your identity has been removed (anonymised data).
In general, the Breakthrough Cancer Research Grant Portal only collects, stores, or uses personally identifying information in the specific instances where data is volunteered, such as when you submit your information to create your profile on the site, or as part of a research grant application, or where information about you is requested from a third party at your invitation, such as from academic referees.
Personal information processed by Breakthrough relates to research grant applicants, grant holders, grant participants, staff employed through grants, and external reviewers and advisors (e.g. peer reviewers and committee members) in connection with evaluating. awarding, monitoring and managing research grants.
You may request access to, rectification, erasure or restriction of your data, or object to the processing of your data at any time.
We will only retain your personal information for as long as necessary to fulfil the purposes for which we collected it. This may mean holding on to your personal information for a period of time after you have ceased to have a relationship with Breakthrough, such as for the purposes of satisfying any legal, accounting, or reporting requirements.
All requests for access, rectification, erasure or restriction of your data should made to the research department, email: [email protected].
We will respond to your request for access, rectification, erasure or restriction of your data held by Breakthrough Cancer Research in writing as soon as practicable and in any event within one month of receipt of your request. We may request proof of identification to verify your request.
You have the right to lodge a complaint with the Data Protection Commissioner if you are unhappy with how we are processing your data.
INFORMATION WE MAY COLLECT FROM YOU
We collect data about you on the site which you volunteer when you create a profile, or when you submit information as part of a grant application. We may keep records and copies of correspondence when you contact us.
We collect data automatically when you navigate through our site, such as your IP address, your browser type, and your referring URL to ensure the site is presented in the most effective manner for you and for your computer, and to compile statistical data on the use of our site. We make no attempt to identify individual visitors with this data, or to associate the technical details we collect with any individual, unless required to find and disclose such information by law. We may use your Data to comply with any legal obligations.
Contact information that you volunteer (for example, your name, address, contact telephone number and email address) will be kept and associated with your account profile.
DISCLOSURE OF YOUR INFORMATION
We will not disclose your Data to third parties unless you have consented to this disclosure or unless the third party is required to fulfil a request you have made or contract that you have entered into. Where appropriate, data may also be processed by our service providers in which case we will take steps to ensure that the processing complies with applicable data protection and confidentiality laws. We will also disclose your data if we believe in good faith that we are required to disclose it in order to comply with any applicable law, a summons, a search warrant, a court or regulatory order or other statutory or legal requirement.

Login details are provided to you for using the Breakthrough Grant Portal and it is your responsibility to keep the password secure.
Uses of your information:
Your information will always be protected; however, the use of information depends on your specific relationship to Breakthrough Cancer Research:
- When you are considering applying for a Breakthrough Cancer Research grant
You may choose to give us certain information about you when you are considering applying for funding (at the pre-application stage) such as:
• your name;
• contact phone number;
• email address;
• CV including education/training and career history;
• details of your proposal.
Where necessary, we may collect additional information about you from external sources e.g. research outputs such as publications and works, patents, clinical trials as well as citations of these outputs collected from sources such as publicly or privately curated databases. We also collect information about you in specific circumstances from external reviewers, referees or advisors where a formal decision is required prior to invitation to a full application.
We use your information for:
• assessing your eligibility and suitability for funding;
• understanding your proposed application;
• corresponding with you to advise you on your proposed application.
We use your information in this way on the legal basis that we need to, to pursue our legitimate interests as a funder (and your interests as an applicant) to provide advice and support to those seeking funding, in furtherance of our charitable aims.
- When you are applying for a Breakthrough Cancer Research grant
Where necessary, we collect the following information from you, as a lead applicant or participant (e.g. co-investigator, collaborator, sponsor, supervisor, referee), when you apply for a grant:
• first name, last name, title, ORCiD ID;
• nationality;
• address, email address and telephone numbers;
• CV including education/training and career history;
• information relating to career breaks. We will not request or hold information that is considered special category personal data such as health-related information;
• letters of support;
• details of proposal;
• with your consent, information relating to date of birth, gender, ethnicity and race and disability
Where necessary, we may also collect additional information about you relating to your application from external sources e.g. grant outputs such as publications and works, patents, clinical trials as well as citations of these outputs collected from sources such as publicly or privately curated databases.
Where necessary, we will collect information about you (including opinions about your application) from external reviewers, referees, supervisors and advisors (e.g. peer reviewers and committee members).
Your information provided and gathered as part of an application is used for a number of purposes: for: A) Awarding and managing grants, and B) Analysis of Breakthrough funding programmes and how we fund it, C) External reviewer opportunities,
Awarding and managing grants
We use your information for:
• processing your application and assessing your eligibility and suitability for funding;
• reviewing your application both internally and externally using external reviewers or advisors (e.g. peer reviewers and committee members);
• contacting you about your application; and administering our grants system (including troubleshooting, testing, system maintenance and support).
Where necessary, we share your information for these purposes with individuals and organisations outside Breakthrough who are connected to or working on behalf of Breakthrough, including:
• other funding partners (e.g. Irish Research Council, Health Research Board) for assessment, monitoring and reporting purposes under the terms of our partnership;
• other parties who may be interested in funding (including co-funding) certain Breakthrough grants or schemes for the purpose of helping decide whether those parties will provide such funding;
• external consultants who are engaged by Breakthrough to process applications and assess your eligibility and suitability for Breakthrough funding; and
• external reviewers and advisors (e.g. peer reviewers and committee members) who may be based at academic institutes or in the private sector, for the purpose of reviewing your application and making funding recommendations.
We use your information in this way on the legal basis that it is necessary for us to pursue our legitimate interests as a funder (and the interests of those we fund) in providing grant funding
B) Analysis of what Breakthrough Cancer Research funds programmes and how we fund it
We use your information for:
• monitoring and reporting purposes e.g. award rates and trends in application decisions;
• evaluating and reporting purposes (where it could be combined with other data) e.g. the fairness and efficiency of application decisions. For evaluation purposes, where necessary, we may invite you to provide feedback on your experience of applying for Breakthrough funding and how we might improve the way we do things; and
• research, learning and reporting purposes (where it could be combined with other data) e.g. to determine the geographical reach of institutions that Breakthrough funds or directly interacts with relative to our peer funding organisations.
C) External reviewer opportunities
We might also use your information in an application to:
• contact you to offer you the opportunity to act as an external reviewer or advisor (e.g. committee member or peer reviewer) on other applications for Breakthrough funding.
We use your information in this way on the legal basis that it is necessary for us to pursue our legitimate interest as a funder to ensure that applications for Breakthrough funding are peer reviewed and appraised by subject matter experts to ensure that appropriate funding decisions are made.
3. Where you are a participant on a Breakthrough grant
As a participant involved in Breakthrough funding (e.g. co-investigator, sponsor, supervisor, referee, collaborator), research staff member, student, fieldworker, collaborator, consultant, or sub-awardee, advisory committee member, we also collect information about you that Breakthrough-funded organisations are required to provide to us (under our grant conditions).
Where necessary, we also collect additional information about you relating to the grant you are on from external sources e.g. grant outputs such as publications and works, patents, clinical trials as well as citations of these outputs collected from sources such as publicly or privately curated databases.
4. Where you are a peer reviewer
We collect the following information about you from third parties who recommend you, institution websites and other external sources e.g. research outputs such as publications and works, as well as citations of these outputs collected from sources such as publicly or privately curated databases.
• name and email address;
• organisation;
• area of expertise
We use your information, for awarding and managing grants, to:
• determine your suitability as a reviewer;
• assess any potential conflicts of interest
• contact you to invite you to participate in peer review;
• send you a link via email to review relevant application material via Breakthrough’s Grant Portal;
• receive back from you the details of your peer review which we will share with our external reviewers or advisors e.g. committee members and also feedback to our applicants anonymously;
• otherwise correspond with you in connection with peer reviewing an application; and
• contact you for feedback and suggestions for improvements on the way we do things that would benefit you as a peer reviewer.
Where necessary, we share your information with individuals and organisations outside Breakthrough who are connected to or working on behalf of Breakthrough, including:
• other funding partners (e.g. Irish Research Council, Health Research Board) for assessment, monitoring and reporting purposes under the terms of our partnership; and
• external reviewers or advisors (e.g. committee members) for the purpose of reviewing and making funding recommendations.
We use your information in this way on the legal basis that we are pursuing our legitimate interests as a funder (and those we fund) in obtaining peer review of Breakthrough applications by subject matter experts to ensure that appropriate funding decisions are made.
5. Where you are an external advisor e.g. committee member, Public Patient involvement (PPI) panelist
We collect the following information from you some of which we are likely to hold already if you have previously interacted with Breakthrough Cancer Research:
• name, contact email, address;
• biographical information such as area of expertise, and expert by experience. We also collect additional information about you relating to your role as an external advisor from external sources e.g. research outputs such as publications and works, as well as citations of these outputs collected from sources such as publicly or privately curated databases.
We use the information we hold on you to:
• understand your areas of expertise;
• administer our relationship with you as an external advisor,
• correspond with you about committee meetings and proceedings;
• assess any potential conflicts of interest;
• as a user of Breakthrough’s Grant Portal, administer the grants system (including troubleshooting, testing, system maintenance and support); and
• contact you for feedback and suggestions for improvements on the way we do things that would benefit you as a committee member.
Where necessary, we share your information for these purposes with individuals and organisations outside Breakthrough who are connected to or working on behalf of Breakthrough including:
• other funding partners (e.g. Irish Research Council, Health Research Board) for assessment, monitoring and reporting purposes under the terms of our partnership; and
• other external advisors (e.g. committee members) for the purpose of reviewing and making funding recommendations.
We use your information in this way on the legal basis that it is necessary for us as a funder to manage Breakthrough committees to ensure that they operate appropriately and that ultimately applications for Breakthrough funding are appropriately reviewed and appraised by subject matter experts to ensure that appropriate funding decisions are made.
CHANGES TO THIS PRIVACY STATEMENT
We reserve the right to change this privacy statement from time to time at our sole discretion. If we make any changes, we will post those changes here and update the “Last Updated” date at the bottom of this privacy statement.
